The Building Participation Report gives directors of music a districtwide view of how each school is participating in music programs. You can compare buildings side by side, see enrollment trends over time, and spot where participation is strong or may need attention.
Summary cards at the top #
Three quick totals appear above the chart and table:
- District Participation — Overall percentage of eligible students enrolled in at least one music program, summed across all buildings. The subtitle shows how many music students that represents out of the total eligible pool.
- Assigned Instruments — Number of students districtwide who currently have a school instrument assigned from inventory (not including uniform-only items).
- Own / Default Instrument (in the subtitle) — Students recorded with a default instrument or as owning their own instrument.
- Attrition — A districtwide count related to students who left a program during the current school year. Use the separate District Attrition Report for student-level detail.
Enrollment Report chart #
The line chart shows districtwide enrollment in each program over time:
- Band
- Orchestra
- Chorus
- Classroom Music
- Uniforms
Each point is a snapshot taken automatically at the beginning of May and November. It helps you see growth or decline across the district, not just at one school.
This chart moved here from the District Overview page so enrollment trends and building comparisons live in one place.
Building Participation by School (table) #
Each row is one school building in your district. The District Total row at the bottom adds the columns together (participation % is recalculated for the whole district, not a simple average of the schools).
You can sort, search, and export the table (copy, CSV, Excel, print) using the buttons above the grid.
How “eligible” grades are chosen #
Participation is not measured against every student in the building from kindergarten through the top grade. Instead, each building uses only the grades where music actually runs:
- The lowest grade is the smallest grade level that currently has at least one student enrolled in any music program at that building.
- The highest grade is that building’s configured top grade in Da Capo Inventory.
Example: If 4th grade is the lowest grade with any music enrollment, only students in grades 4 through the building’s top grade are counted as “eligible.” Grades below 4 are left out of the participation rate so you are not penalized for grades that do not participate in music yet.
Column definitions #
| Column | What it means |
|---|---|
| Building | School name. |
| Grade Span Analyzed | The grade range used for eligible students at that building (lowest music grade through top grade), shown as something like 4–6 or 4–12. |
| Eligible Students | All students at that building whose grade falls within the grade span analyzed, whether or not they are in music. |
| Music Students | Students enrolled in at least one music program (Band, Orchestra, Choir, Classroom Music, or Uniforms) on District Program Enrollment. |
| Participation % | Music Students ÷ Eligible Students, shown as a percent. The small fraction under the percent (for example, 140 / 222) is the same calculation in numbers. |
| Band | Students with Band checked on program enrollment. A student in both Band and Choir is counted in both columns. |
| Orchestra | Students with Orchestra checked on program enrollment. |
| Choir | Students with Choir checked on program enrollment. |
| Classroom Music | Students with Classroom Music checked on program enrollment. |
| Uniforms | Students with Uniforms checked on program enrollment. |
| Assigned Instruments | Students who currently have a district instrument assigned from inventory at that building (including shared assignments where applicable). Uniform inventory is not included. |
| Own / Default Instrument | Students marked with a default instrument or owned instrument on their student record. One student is counted once even if both fields are set. |
| Status | A quick label based only on Participation % for that building: Strong — 50% or higher Watch — 30% up to just below 50% Low — below 30% |
Tips for directors #
- If participation looks unexpectedly low, check Grade Span Analyzed first. A building that starts music in 4th grade should not be compared using K–3 students in the denominator.
- Program columns (Band, Orchestra, and so on) can add up to more than Music Students because one child may be in multiple programs.
- Assigned Instruments and Own / Default Instrument answer different questions: who has school inventory right now versus who is set up with a default or personal instrument on file.
- This page is entirely based on Program Enrollment. It is very important for teachers to keep their program enrollment up to date. Details can be found here. It’s easy!
