We have made several improvements to lesson scheduling in Da Capo Inventory over the past week. These updates are designed to make lesson scheduling clearer, safer, and more flexible for teachers.
The biggest change is the improved Lesson Settings / Run Schedule page, which is now the main place to configure and run lesson schedules. You can find it in the Lessons menu.
The new workflow is:
- Save your lesson settings
- Run Preview to see what the schedule will look like
- Run Schedule when you are ready to publish the schedule to lesson cards and the teacher dashboard
Saving lesson settings does not automatically move or publish lessons. This is intentional. The Preview step gives you a chance to review the schedule before anything is written live.
Several new scheduling options have also been added, including:
- The ability to lock certain groups to certain periods
- The ability to prevent certain groups from rotating at all
- The ability to allow some groups to meet on additional lesson days
- A clearer Lesson Settings page with the major scheduling options in one place
- Stronger schedule checks before anything is published
- The ability to undo scheduling runs by restoring a previous schedule
- A new option to share your lesson schedule with colleagues, without requiring them to log in to Da Capo Inventory
The new schedule sharing option must be enabled by your Director of Music. Once enabled, teachers can share lesson schedule access with colleagues who may need to view the schedule or assist with attendance and lesson notes.
We also added stronger validation before schedules are previewed or published. If something is missing or incorrect, Da Capo Inventory will now show a clear message and point you to the page where the issue can be fixed. This may include missing teaching periods, groups not assigned to lesson days, too many groups for the available periods, or calendar setup issues.
One important new feature is the ability to limit specific groups to specific periods. For example, if a group can only meet during Periods 1 and 2, that restriction can now be added in Lesson Settings. Other groups on the same day can continue rotating normally.
Going forward, please use:
Lessons → Lesson Settings / Run Schedule
as the main place to configure, preview, and publish lesson schedules.
After changing lesson groups, lesson days, periods, the calendar, or period limits, the recommended process is:
Save → Run Preview → Run Schedule
If your lesson times or lesson cards do not look correct after these updates, please re-run the schedule so the live lesson data is regenerated.
