What can a parent see and do on the portal?

After linking at least one student to their parent account, the parent can see and do the following:

Event Calendar and Volunteer Signup #

A parent can:

  • View the Event Calendar, as created by teachers or the Director of Music
  • If the event was created with ‘Volunteers Needed’, and the Volunteer Setup was completed for that particular event, parents can use their portal account to sign up to assist with that event. They can also register their children as volunteers for the various functions.

Student Profile #

A parent can:

  • Update the spelling and capitalization of the student’s name
  • Decide whether other parents can add the child to their parent account
  • Update the phone numbers and email addresses of the student and up to three caregivers.
  • View Student Achievements and scanned adjudication sheets, including State or Regional audition scores that were entered by teachers. Nominations to state or county organizations, as entered by teachers.

Student Rentals #

A parent can:

  • View current rentals, print rental contracts, upload signed rental contracts, and if enabled by the district, pay the maintenance/rental fee via credit card
  • View past rentals, and the dates the items were loaned and returned
  • Contracts uploaded by parents will appear on the “Inventory” page of teachers, and will be viewable only by teachers. Rental contracts are attached to the “Instrument”. If, for example, an instrument is unassigned and a new instrument is reassigned, the teacher will no longer see that contract.
  • Contracts for current and former rentals can also be viewed on the “Student Details and Achievements” page on the “Fees and Rentals” tab.

Student Fundraising #

A parent can:

  • View all transactions related to their child’s fundraising ledger

NYS Spring Solo Festival Pre-Registration (New York school districts only) #

A parent can:

  • Choose a festival to pre-register their child for the spring solo festival. The list of available festivals is selected by the Director of Music in the school district. Deadlines are also set by the Director of Music.
  • Choose the teacher for whom the pre-registration should be sent. The parent will see each teacher in the child’s school building as a choice.
  • Enter the Evaluation Type (ie. Brass-Woodwind Solo), Level (1-AS), Instrument, Composition, Composer, Arranger, Movements, Page Number, Time Preference, Accompanist. Most of these fields are optional for the parent
  • Submit the pre-registration
  • Note: The registration is not finalized until the teacher clicks “Approve Registration”
  • If the payment function is set up by the district, the parent can submit credit card payment immediately, or after registering multiple solos for their children.
  • If the payment function is NOT set up by the district, the parent can print an invoice showing the total amount due.
  • The parent can edit any of the solo information up until the teacher approves the registration.

Field Trips #

A parent can:

  • See which field trips a student is currently enrolled in, the amount due for each payment, and whether the payment has been received.
  • If the payment function is set up by the district, the parent can submit credit card payment for any or all of the due dates for the trip.

Form Collection Status #

A parent can:

  • See which forms were assigned to students, so long as the teacher enabled the “Parent can view on portal” setting.
  • See a blank copy of the form.
  • See whether a form was collected by the teacher.

Additional features #

Parents cannot see any other information other than that listed above.
