Da Capo Inventory provides school districts with a centralized process through which parents and guardians can pre-register their children for NYSSMA® Solo and Ensemble Festivals. When enabled by the school district, families may also pay the applicable participation fee online through the same secure Parent Portal.

Understanding Parent Pre-Registration #
Parent pre-registration is the first step in the district’s NYSSMA registration process. It does not allow a parent to register a student directly with NYSSMA or a festival host.
Instead, the parent submits the student’s information and participation request to the school district. A music teacher then reviews the request, verifies the information, and determines whether the student is prepared and eligible to participate. Once approved, the information can be moved into the district’s official NYSSMA registration workflow.
This distinction ensures that the school district and its music educators retain control over all official festival registrations.
How the Process Works #
1. The parent accesses the Da Capo Inventory Parent Portal #
Parents create a Da Capo Inventory Parent Portal account using their name, email address, and school district. After verifying their email address and establishing a password, the parent links the student to the account using the student’s Da Capo ID and access code supplied by the school district.
A parent with more than one child in the district may link multiple students to the same account.
2. The parent completes the NYSSMA pre-registration form #
After selecting the appropriate student, the parent opens the NYSSMA Pre-Registration section and enters the requested information.
Depending upon the district’s procedures and the type of registration, the form may request information such as:
- The festival or adjudication type
- The student’s instrument, voice part, or ensemble
- The proposed NYSSMA level
- The selected composition
- The composer, arranger, or editor
- The NYSSMA Manual page number
- The name of a private teacher, accompanist, or additional instructor
- Scheduling conflicts or time preferences
- Required acknowledgments and family commitments
A separate pre-registration is generally completed for each solo or ensemble in which the student wishes to participate.
3. The family pays the participation fee online #
When online payment is enabled by the school district, the parent may pay the applicable NYSSMA participation fee through the Parent Portal.
The payment is associated with the student and the corresponding pre-registration request. This gives authorized staff a centralized record of the registration request and its payment status.
The district establishes its own policies concerning:
- Registration fees
- Payment deadlines
- Accepted payment methods
- Credit card processing fees
- Refunds and cancellations
- Financial assistance
- Registrations submitted without payment
Districts may also choose to pay some or all NYSSMA fees on behalf of families. In those cases, the Parent Portal can still be used to collect the student’s pre-registration information and family commitment without requiring an online payment.
4. The music teacher reviews the request #
The student’s music teacher reviews the submitted pre-registration before it becomes an official festival registration.
This review allows the teacher to confirm:
- That the student is ready to participate
- That the selected solo is appropriate for the student
- That the composition and level appear in the current NYSSMA Manual
- That the student meets applicable accompaniment and sight-reading requirements
- That required information is complete and accurate
- That the family understands the district’s participation and payment policies
When information is incomplete or incorrect, the teacher can work with the student or parent before approving the request.
5. The district completes the official NYSSMA registration #
After the pre-registration has been reviewed and approved, the music teacher or another authorized district representative completes the official registration process.
Parents do not submit registrations directly to the festival host. Official registrations remain under the control of school personnel, helping the district maintain consistent procedures and accurate records.
